Admission Procedure & Guidelines

Overview

Admissions at BMS are deliberately low-drama. There are no hidden charges, and no advantage to knowing somebody.

What there is: a short interaction so we can place your child correctly, a conversation with you about what the school does and does not do, and a limited number of seats — a division is kept to 25 children in the pre-primary years and 35 in the primary.

The prospectus

School Prospectus

The school prospectus is the document of record for a prospective parent. It carries the school's profile, the academic programme stage by stage, the campus and facilities, school timings and the annual calendar, the fee schedule with the payment terms, transport routes, the uniform specification, and the rules a family accepts on admission.

A copy is given to every family at the time of enquiry, and the current edition can be downloaded below.

What the prospectus contains

  • School profile, vision and academic programme
  • Stage-wise curriculum and scheme of studies
  • Campus, laboratories and facilities
  • School timings and the academic calendar
  • Fee schedule, payment terms and refund rules
  • Transport routes, stops and charges
  • Uniform specification and book list
  • Code of conduct, attendance and leave rules

Applying

Admission Process

Six steps take a family from a first enquiry to a confirmed seat. Each one carries a date, and nothing is left to be inferred: you will know what to bring, what it costs and by when, in writing, at every stage.

How a child joins the school

  1. Enquiry

Complete the enquiry form, online or at the office, with your child’s name, the grade you are seeking and a number we can reach you on. That is all we need to begin.

  2. A walk through the school

Come and see the place while it is working. A guided walk takes in the classrooms, the laboratories and the ground, and an orientation sets out the curriculum, the shape of the day and how the school teaches.

  3. Application and registration

Collect the admission form and return it within 10 calendar days, complete, with the supporting documents listed below and the registration fee of ₹500.

  4. Verification and a provisional seat

Every document is checked against the list. Where the grade has room, a seat is held provisionally for your child while the application is reviewed.

  5. Written confirmation

The school writes to you by email with the decision, the fee structure in full and instructions for payment. Nothing of consequence is settled by word of mouth.

  6. A confirmed seat

Pay the admission fee within 7 working days. The fee receipt and the admission confirmation slip close the process, and the place is your child’s.

How a seat is held

A place is guaranteed only once the admission fee has been paid in full within the seven working days allowed. After that the offer lapses and the seat passes to the next family in line — applied evenly, so that no child waits behind a seat nobody has taken up.

If the division is full

A division is kept to 25 children in the pre-primary years and 35 in the primary years, and we do not exceed it. Where a division is full, your child’s name goes on a dated waiting list and you are told the position honestly — not kept hoping.

What we do not do

The published fee is the whole fee: there are no charges beyond it. Admission is decided on the same terms for every family, regardless of caste, community, gender or a parent’s position.

What you agree to

Terms & Conditions

These are the terms on which a child is admitted and continues at the school. They are printed in the prospectus and signed at the time of admission; nothing here is a surprise clause.

Fees

The annual fee is published and payable in the instalments shown on the fee schedule, by the stated dates. Fees once paid are not refundable except as set out under withdrawal. Late payment attracts the charge published in the schedule.

Withdrawal

A month’s written notice is required. The transfer certificate is issued after all dues are cleared and school property returned, normally within seven working days.

Attendance

A minimum of 75% attendance is required for promotion and for CBSE examination eligibility. Leave needs a written application; a medical certificate is required for absence beyond three days.

Conduct

Children are expected to follow the school code of conduct and the discipline policy. Serious or repeated breach may lead to withdrawal, after the parents have been heard.

Records and consent

Parents are responsible for keeping contact details current. Photographs taken at school events may be used in school publications and on this website unless a parent asks in writing that they are not.

Transport

Transport is optional and charged route-wise. Routes and stops are fixed for the year; a change is accommodated where the route permits it.

Also part of the terms

  • Uniform to be worn as specified on all school days
  • Mobile phones are not permitted on campus
  • Children handed over only to a parent or an authorised adult
  • Visitors registered at reception and escorted on campus
  • The school’s decision on grade placement is final
  • Rules may be revised, with notice to parents in writing

If a family faces genuine financial difficulty, speak to the office before dues fall behind. The school would far rather find an arrangement than lose a child.

Paying the fee

Payment Gateways

Fees at Bhaktivedanta Model School are collected through the Edunext ERP parent app. A parent can see what is due, pay it from anywhere at any time, and keep the whole record of the year in one place.

Every payment generates a receipt in the school-management system, which a parent can download at any time; nothing is settled without one.

What the parent app lets you do

  • Pay by debit card, credit card, net banking or UPI / QR code
  • View fee details and payment schedules
  • Access the complete payment history
  • Download digitally generated fee receipts instantly

Ways to pay

Through the parent app

The Edunext ERP app accepts UPI or QR code, net banking, and debit or credit cards. The receipt is generated immediately and emailed to the registered address.

At the school office

Cheque or demand draft in favour of the school, or cash within the limit permitted by law, at the administrative office during office hours.

A word on safety

The school collects fees only through the Edunext parent app or at its own administrative office. It will never ask you to transfer money to a personal account, or to a UPI number sent to you over a messaging app. If you receive such a request, please call the school office before you pay anything.
